Answers to the most common questions
Short version: open a tool and follow the steps on the page — file tools: add files, adjust options, download; text tools (QR, password, word count, JSON): just type, results appear instantly. No account needed, ever.
01Getting started
Open the tool page and follow the on-screen steps. File tools (PDF, image): drag your files into the upload area (or click to browse), adjust the options if the tool has any, then press the process button. When processing finishes, your download starts automatically and a download button stays on the page. Text tools (QR codes, passwords, word count, JSON): just type or paste — results appear instantly.
Each tool lists the file types it accepts under the upload area. The universal limit is 100 MB per file. Some tools accept multiple files (for example Merge PDF takes up to 20); others take a single file.
No. All 104 123ToolKit tools work without signing up. An optional Pro plan with higher limits is on the roadmap — see the Pricing page for what's planned.
02Privacy & limits
Yes. Browser-based tools — including all PDF organizers, image tools and the text utilities (QR, password, word count, JSON) — run entirely on your device; your files and text never leave it. Server-side tools (Office conversions, protect/unlock) upload your file for conversion only and auto-delete it after 60 minutes.
The usual reasons: the file type doesn't match the tool (e.g. uploading a PNG to a Word tool), the file is over 100 MB, or the file is corrupted. Password-protected PDFs can't be processed by client-side tools — unlock them first with the Unlock PDF tool.
Browser-based tools have no daily limit — use them as much as you like. Server-side Office conversions go through our conversion provider, which allows a limited number of free conversions per day; if you hit the cap, try again tomorrow.
03PDF specifics
Tools like Split PDF accept ranges in the format “1-3, 5, 8-10”: comma-separated pages or ranges. Ranges are validated against your document's actual page count before processing starts.
Office conversions (PDF ↔ Word/Excel/PowerPoint) run on our conversion servers, which process free-tier jobs in a queue — most finish in 5–10 minutes. Keep the tab open while it processes.
04Troubleshooting
Large files take longer, especially on slower devices. If progress hasn't moved for several minutes, refresh the page and try again with a smaller file. If the problem repeats, reach out via the Contact page and describe the tool, file type and size.
After processing, the download starts automatically and a download button stays on the page — click it to download again. Also check your browser's download bar: some browsers block automatic downloads and ask for permission first.
